Position Type:  Full Time
Work Schedule: Monday–Friday, 8:00 AM–5:00 PM, with availability outside normal business hours as needed to support driver logistics, delivery issues, and time-sensitive transportation needs.

Job Summary: The Fleet Logistics & Transportation Manager is responsible for leading the planning, coordination, compliance oversight, and cost-effective movement of company fleet vehicles that have been leased, sold, transferred, acquired, or otherwise assigned for transport. This role manages the logistics required to move large passenger vans, shuttle buses, and related fleet units across a nationwide network while balancing service expectations, delivery timelines, driver availability, regulatory requirements, and the most favorable transportation cost to the company.
The Manager oversees a team of transportation coordinators/dispatchers and serves as a key liaison between internal and external customers, independent contract drivers, and vendors. The position requires strong dispatch judgment, advanced organization, effective use of transportation and fleet management systems, and a working knowledge of DOT/FMCSA compliance requirements applicable to CDL and non-CDL drivers and vehicles.
Essential Functions:

  • Plan, coordinate, and oversee the nationwide movement of company fleet and customer vehicles.
  • Evaluate transportation options and determine the most practical, timely, and cost-effective method for moving vehicles while protecting customer service commitments and company profitability.
  • Manage and coordinate a nationwide network of independent contract drivers, including CDL and non-CDL drivers, to support scheduled deliveries, transfers, pickups, and time-sensitive transportation needs.
  • Lead, train, schedule, and support transportation coordinators/dispatchers to ensure consistent dispatch coverage, accurate communication, timely follow-up, and alignment with company standards.
  • Serve as the primary escalation point for driver logistics, route changes, delivery issues, after-hours concerns, documentation collection, and transportation-related problem resolution.
  • Maintain and monitor transportation records, including driver files, trip documentation, logs, receipts, proof of delivery, fuel or travel expenses, and other required supporting documentation.
  • Ensure transportation activities are completed in accordance with applicable DOT/FMCSA requirements, company policies, safety expectations, and CDL/non-CDL driver and vehicle requirements.
  • Use transportation, fleet, dispatch, GPS, document management, and business software systems to assign work, track movement, monitor costs, maintain records, identify issues, and improve workflow efficiency.
  • Promote safe work activities by conducting safety audits, supporting company safety meetings, and reinforcing safe transportation practices.

  • Collaborate with Sales, Rental, Operations, Service, Fleet, Finance, and other departments to confirm unit readiness, delivery requirements, customer expectations, cost approvals, billing details, and schedule changes.
  • Monitor transportation spend, review invoices and receipts, identify cost-saving opportunities, and support budget-conscious decision-making for vehicle movement.
  • Communicate professionally and proactively with internal teams, drivers, vendors, and receivers regarding delivery status, delays, documentation needs, and issue resolution.
  • Investigate and resolve transportation-related service concerns, delivery discrepancies, driver issues, or customer complaints in coordination with appropriate departments.
  • Promote safe transportation practices by reinforcing driver expectations, reviewing incidents or compliance concerns, supporting safety audits, and participating in company safety initiatives.
  • Develop, document, and improve transportation procedures, dispatch workflows, driver communication standards, and compliance-related processes.

Supervisory Responsibilities:
Yes. This position supervises transportation coordinators/dispatchers and is responsible for assigning work, setting expectations, monitoring performance, supporting training and development, and ensuring timely and compliant execution of transportation activities.
Work Environment: 
On-site in a professional office environment with frequent phone, email, and system-based communication with drivers, internal teams, vendors, and customers. This role may require availability outside regular business hours to support driver logistics, delivery disruptions, or urgent transportation needs.
Physical Demands:
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.
Required Education/Experience/Certifications:

  • Bachelor's degree in logistics, supply chain, transportation, business management, operations, or related field; equivalent relevant experience may be considered.
  • Three or more years of experience in transportation, dispatch, fleet logistics, vehicle movement, or related operations, preferably in a multi-location or nationwide transportation environment.
  • Prior experience supervising dispatchers, coordinators, drivers, or logistics support staff.
  • Working knowledge of DOT/FMCSA requirements applicable to CDL and non-CDL drivers, driver qualification documentation, hours-of-service/log requirements, vehicle compliance, safety expectations, and related recordkeeping.
  • Demonstrated ability to use transportation, fleet, dispatch, GPS, document management, Microsoft Office, and other business software systems to manage workflow, reporting, documentation, and cost tracking.
  • Strong organizational, communication, follow-up, and problem-solving skills with the ability to manage competing priorities in a fast-paced environment.
  • Ability to support after-hours driver logistics and urgent transportation issues as business needs require.
 
Preferred Education/Experience/Certifications:

  • Experience coordinating the transportation of passenger vans, shuttle buses, buses, specialty vehicles, or commercial fleet units.
  • Experience working with independent contract drivers or third-party transportation vendors.
  • Experience supporting DOT audit preparation, driver qualification file review, safety documentation, or transportation compliance processes.
  • Familiarity with vehicle sales, leasing, rental, service, or fleet operations.
 
Travel Requirements
Limited travel may be required for training, meetings, branch support, vendor coordination, or operational needs.
