Job Title: Senior Parts Specialist

Job Summary: The Senior Parts Specialist provides advanced parts support for Master’s Transportation’s Service Department by accurately identifying, sourcing, ordering, receiving, and distributing parts needed for customer repairs and internal service work. This role serves as a primary resource for complex parts research, order issues, vendor coordination, inventory accuracy, and technical guidance. The Senior Parts Specialist works closely with service technicians, service advisors, customers, and suppliers to minimize repair delays, maintain dependable parts availability, and deliver responsive service. This position does not have direct supervisory responsibility but may train team members, coordinate day-to-day priorities, and support consistent use of department procedures and systems.
Essential Functions:
- Identify and verify automotive, bus, truck, and commercial vehicle parts using vehicle information, technical specifications, catalogs, diagrams, inventory systems, and vendor resources.
- Source and order parts for customer repairs, warranty work, preventive maintenance, and internal Service Department needs while balancing availability, quality, cost, and delivery requirements.
- Serve as a senior technical resource for service technicians, service advisors, customers, and other team members on complex parts identification, substitutions, compatibility, and sourcing questions.
- Monitor open parts requests, purchase orders, backorders, special orders, and delivery timelines; communicate status updates and escalate risks that may delay service work.
- Coordinate with approved suppliers and alternate vendors to confirm pricing, availability, lead times, freight, and order accuracy.
- Receive, inspect, label, store, stage, and distribute parts in accordance with department procedures, inventory controls, and repair-order requirements.
- Ensure parts are accurately issued, transferred, returned, and credited to the correct repair order, customer account, or inventory location.
- Research and resolve discrepancies involving incorrect, damaged, missing, duplicated, or delayed parts, including returns, exchanges, warranty claims, and vendor credits.
- Support inventory accuracy through cycle counts, stock organization, bin maintenance, replenishment review, obsolete inventory identification, and investigation of variances.
- Review parts transactions and supporting documentation for completeness, accuracy, proper authorization, and compliance with established procedures.
- Maintain organized records of orders, quotes, packing slips, returns, vendor communications, inventory adjustments, and follow-up items.
- Coordinate daily parts priorities with Service Department leadership based on repair schedules, technician needs, customer commitments, and operational urgency.
- Train and guide team members on parts lookup methods, inventory technology, documentation standards, and department procedures without direct supervisory authority.
- Identify recurring sourcing, inventory, pricing, and workflow issues and recommend practical improvements to department leadership.
- Build effective working relationships with internal partners, customers, and vendors through accurate information, timely follow-up, and professional service.
- Perform other duties as assigned to support Service Department efficiency and customer satisfaction.

Supervisory Responsibilities:
This position does not have direct reports or formal people-management responsibilities. The role may provide day-to-day guidance, training, and workflow support to Parts and Service team members.

Physical Demands:
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.
Required Education/Experience/Certifications:
- High School Diploma, GED, or equivalent.
- Five or more years of experience in parts, customer service, inventory, or automotive service support.
- Strong working knowledge of automotive or heavy-duty parts, systems, and sourcing practices.
- Experience coordinating workflow, resolving escalations, or supporting operational processes in a team environment.
- Proficiency using parts catalogs, inventory systems, and computer-based lookup tools.
Preferred Education/Experience/Certifications:
- Experience in the automotive, truck, bus, or commercial vehicle parts industry.
- Prior experience serving as a lead, subject matter expert, trainer, or primary escalation resource.
- Experience with inventory controls, vendor coordination, and process improvement initiatives.
